Annotations
Comment on a specific spot on a plan, image, or PDF, right in the file preview. Each annotation opens a discussion thread shared with the team and, depending on the channel chosen, with project clients.
Supported files
Annotations are available when you open the preview of an image or a PDF:
- in the project Files tab
- in a product's Files tab
Other file types (video, audio, etc.) preview without annotations.
Create an annotation
- Open the image or PDF file from Files
- Click the spot on the document you want to comment on (the cursor becomes a crosshair)
- Choose the discussion channel:
- External — visible to the team and clients
- Internal — visible to the team only
- Optionally link a product to provide context
- Enter your comment
- Submit to create the annotation
A marker appears at the selected location. On a multipage PDF, the annotation is tied to the current page.
The annotation is only created after you send the first comment. Closing the window without writing anything saves nothing.
Internal or external channel
Like project chat, each annotation has two channels:
| Channel | Visible to |
|---|---|
| External | Team and clients |
| Internal | Team only |
Switch between them using the tabs at the top of the annotation thread. Clients only see external threads on shared files.
If you link a product hidden from the client to an external annotation on a shared file, the annotation does not appear in the client space.
Link a product
To associate an annotation with a project product:
- Open or create an annotation
- Click Link a product
- Search for and select the desired product
A chip with the product thumbnail appears in the thread. Click it to open the product sheet.
Reply to an annotation
- Click a marker on the document, or select the annotation in the sidebar panel
- Enter your reply
- Send the message
You can mention a member or client with @ to alert them directly.
Each author can edit their own comments after sending.
Resolve or reopen
When the point has been addressed:
- Open the annotation
- Click the resolve icon (checkmark)
The annotation is marked as resolved. You can reopen it at any time with the corresponding icon.
Show, hide, and navigate
In the preview:
- View: show or hide markers on the document
- Show resolved: include or exclude resolved annotations from the list and document
- The Annotations panel lists all threads for the file; click an entry to open the thread and center the marker
- On a PDF, use page thumbnails to change pages
- Zoom with the
+/-controls to place or read an annotation more precisely
Delete an annotation
- Open the annotation
- Click the delete icon
- Confirm
Deleting removes the annotation and all its comments. This action cannot be undone.
Notifications
Team members are notified when a comment is added, or when an annotation is resolved or reopened (according to their preferences).
@ mentions notify the mentioned person, including clients.
To enable or disable these alerts (in-app and email), see Notifications.
Client side
Clients can annotate files you have made visible. They see external markers and threads on those documents.
Use annotations to centralize feedback on a plan or technical sheet, rather than multiplying exchanges in the general chat.
